Six phases. Clear owners. Nothing goes live without your sign-off.
Every Vexflow system follows the same path: understand one process, verify the data, agree a written blueprint, build in test mode, prove it with a controlled launch, then run and report on it.
A focused 20-minute conversation about one process (past customers, renewals or inquiries): how it works today, who owns it, and how success would be measured.
You provide
The leader who owns the process, and a plain description of how it runs now.
You receive
A clear view of whether there's a fit, and what we'd examine next. If it isn't a fit, we'll say so.
PHASE 02
Systems & Data Audit
Vexflow does
Reviews the systems, records, consent sources and integration options involved, using scoped access or exports.
You provide
Read access or sample exports, consent and suppression records, an IT contact if needed.
You receive
Written findings: data quality, gaps, integration feasibility (integrate, import or defer) and risks.
PHASE 03
Solution Blueprint
Vexflow does
Writes the design: deliverables, rules, messages, AI use, human approval points, KPIs, attribution method, pilot cohort and what's out of scope.
You provide
Decisions on rules, messaging, approvals and measurement.
You receive
A signed-off blueprint that becomes the build specification and the acceptance criteria.
PHASE 04
Secure Implementation
Vexflow does
Configures the system in your white-labeled HighLevel sub-account with scoped access and least-privilege permissions. Connections to other systems are made only where scoped and verified.
You provide
Calendar owners, handoff contacts and answers to build questions.
You receive
A test-mode build and configuration notes.
PHASE 05
Verification & Controlled Launch
Vexflow does
Tests with synthetic data and test contacts, covering edge cases such as opt-outs, duplicates, wrong dates, no availability, escalations and system errors. Then runs a small, monitored pilot.
You provide
Review of test results, acceptance sign-off, pilot go-ahead.
You receive
A test log, a signed acceptance record and a pilot report.
PHASE 06
Managed Operations
Vexflow does
Monitors, maintains and tunes the system; updates knowledge and messaging; reconciles outcomes; reports monthly.
You provide
Outcome data (completed and invoiced work), business changes, periodic review.
You receive
Monthly reporting, a change log and recommendations.

Illustration only. Fictional business, contacts and counts; not connected to live data. Your actual layout depends on your HighLevel plan and the signed-off blueprint.
Pipeline. Every contact sits in a visible stage, so nothing waits in someone's inbox.
Needs a person. Anything outside approved rules is flagged and handed to your team.
Approvals. New sequences wait for your sign-off before any customer contact.
Approval gates
Your sign-off is required at four points.
Blueprint approval, before any build
Message and knowledge approval, before testing with customer-facing content
Acceptance, after testing and before any live contact
Wider rollout, after the pilot is reviewed

Where software fits
Where software fits
HighLevel (white-labeled) is the primary platform: contacts, Smart Lists, custom fields and objects, workflows, pipelines, calendars, Conversations, Conversation AI and Agent Studio, and dashboards where your plan supports them.
Your existing systems stay in place. Field-service, accounting or ERP systems are connected only where scoped and access is verified. Otherwise we use reviewed imports.
AI is used only where it helps: classifying replies, answering from approved knowledge and preparing staff briefs. Filtering, dates, sends and status changes are deterministic workflow rules.
Behind-the-scenes orchestration may be used for integrations. It is operated by Vexflow and is not a client product.
Vexflow executive dashboard: Preview, planned. A separate read-only leadership view is planned. Today, reporting is delivered in HighLevel and the monthly report.

Questions by role
Answers for executives, operations, service, finance and IT.
Executive: What decision do I need to make first?
Only whether one process is worth examining. The Assessment answers that. Everything after it has its own approval point.
Operations: How much of my team's time does this take?
Most effort falls in the audit, blueprint and acceptance phases. We tell you who's needed and when in the blueprint.
Service: Will this change how dispatch works?
No, unless you choose to change it. Scheduling handoffs follow your existing dispatch authority. Booking into a calendar happens only for appointment types you approve.
Finance: How are results measured?
Against a baseline period agreed in advance, using completed and collected work from your records. Replies and appointments are reported separately and not counted as revenue. A holdout group can be used where volume allows.
IT: What access do you need, and how is it controlled?
Scoped, least-privilege access to the systems in the blueprint. No shared passwords and no customer data in chat or email. Each client is kept in a separate sub-account. Access is removed when the engagement ends.
Everyone: How long does it take?
It depends on data condition, integration needs and approval turnaround. You get a written plan after the audit. We don't commit to timelines before then.
