This Privacy Policy explains how Vexillummedia LLC, doing business as Vexflow ("Vexflow," "we," "us," or "our"), collects, uses, shares, and protects personal information when you visit vexflow.io or any page, form, or booking calendar we operate (together, the "Site"), or when you communicate with us by phone, text message, or email.

We build websites for local service businesses and connect them to missed-call text-back, text follow-up, online booking, a CRM, and review requests. We serve business owners mainly in Ohio and elsewhere in the United States.

1. Who this policy covers, and who it doesn't

This policy covers personal information we collect for our own business. That includes information from visitors to our Site, prospective clients, current clients and their staff, and anyone who contacts us.

Information we handle for our clients. We also run tools for our clients, such as websites, forms, CRMs, booking calendars, and text and email follow-up. When we do this, we process information about our clients' customers and leads on our clients' behalf and under their instructions. We act as a service provider to the client. Our client decides what is collected and how it is used. That information is governed by the client's own privacy policy and by our agreement with that client, not by this policy. If you are a customer of one of our clients and have questions about your information, please contact that business directly. If you contact us instead, we will pass your request to the right client where appropriate.

2. Information we collect

Information you give us

  • Contact and business details: name, email address, phone number (including mobile number), business name, trade, and the services you're interested in.
  • Messages and conversations: what you write in our forms, emails, and text messages, and notes from phone calls with us.
  • Booking details: the date and time you choose, the type of appointment, and any information you add when you book a call with us.
  • Communication preferences: whether you agreed to receive customer care text messages, marketing text messages, or marketing emails, along with records of that consent (for example, when and how you gave it) and any opt-out requests.
  • Payment and billing information: if you buy from us, our payment processor, Stripe, collects your payment card or bank details. We get limited information from Stripe, such as your name, billing contact details, the amount and date of payment, and the last digits and type of your card.
  • Client project information: if you become a client, we receive information you give us to deliver our services, such as logins you choose to share, branding materials, photos, and business details.

Information we collect automatically

When you use our Site, our website platform and security tools may automatically collect:

  • Device and usage information: IP address, browser type, device type, operating system, pages viewed, the page that referred you, and the date and time of your visit.
  • Cookies and similar technologies: small files and scripts used to run the Site, keep forms working, remember your session, and protect against spam. See Section 6 (Cookies and Tracking Technologies).
  • Bot-protection signals: our forms use Cloudflare Turnstile. It checks browser and device signals to tell people apart from automated bots.

Information from other sources

  • Our service providers , such as our website and CRM platform, our booking calendar, and our payment processor, when they give us information about your interactions with us.

3. How we use information

We use personal information to:

  • Respond to your inquiries and requests.
  • Schedule, confirm, and remind you about appointments.
  • Provide, manage, and bill for our services, and communicate with clients about their projects and accounts.
  • Send customer care text messages, only if you agreed to them. Send marketing text messages, only if you separately agreed to them. See our SMS Terms at https://vexflow.io/sms-terms .
  • Send emails about our services. You can unsubscribe from marketing emails at any time.
  • Operate, maintain, secure, and improve our Site and forms, including preventing spam, fraud, and abuse.
  • Keep records of consent and opt-outs, and comply with legal obligations.
  • Enforce our agreements and protect our rights, our users, and others.

4. How we share information

We share personal information only as described below.

Service providers. We use companies that help us run our business. They process information for us under contractual obligations and may use it only as needed to provide their services to us. They include:

  • GoHighLevel / LeadConnector. Hosts our Site, forms, booking calendar, and CRM, and sends our text messages and emails. Its telecommunications and messaging partners handle messages so they can be delivered.
  • Stripe. Processes payments. Stripe handles your payment information under its own privacy policy.
  • Cloudflare. Provides the Turnstile bot protection on our forms.
  • Other providers and advisors: other tools we use to run our business, such as email, file storage, and accounting software, and professional advisors such as lawyers and accountants.

Legal and safety reasons. We may disclose information if we believe in good faith that we must do so to comply with law, a court order, or legal process; to protect the rights, property, or safety of Vexflow, our clients, or others; or to detect and prevent fraud or security problems.

Business transfers. If we are involved in a merger, acquisition, financing, reorganization, or sale of all or part of our business, personal information may be transferred as part of that transaction. The protections in Section 5 below continue to apply to mobile information and SMS opt-in data.

With your permission. We may share information when you ask us to or agree to it.

5. Text messaging (SMS): mobile information is not shared

No mobile information will be shared with third parties or affiliates for their marketing or promotional purposes. We do not sell, rent, or share your mobile phone number or your SMS opt-in data and consent with any third party or affiliate for their own marketing purposes.

We may share mobile information only with service providers that help us deliver our messaging program, such as our messaging platform and its carrier and delivery partners, or that support customer care. All of the other sharing categories described in this policy exclude text-messaging originator opt-in data and consent. That information will not be shared with any third parties except as needed to deliver our messages or as required by law.

6. Cookies and tracking technologies

What runs on our Site. Our Site uses cookies and scripts from our website platform (GoHighLevel / LeadConnector) to run pages, forms, and our CRM, and Cloudflare Turnstile to protect our forms from bots. These are needed for the Site to work properly. Our pages also load fonts from Google Fonts, which receives your browser's IP address so it can deliver them.

No advertising pixels or visitor tracking on our Site. We have not set up the Meta Pixel, Google Analytics, or visitor-identification tools on our Site, and we do not use them to track you for advertising. The only tracking on the Site comes from our website platform, GoHighLevel / LeadConnector, which runs our pages, forms, booking calendar, and CRM. Our booking calendar also loads a standard script file from Meta's servers. We have not connected that script to any Meta advertising account. Meta may still receive basic technical information, such as your browser's IP address, when the file loads.

Advertising on Meta and ad lead forms. Vexflow may run paid ads on Meta platforms such as Facebook and Instagram. Some of those ads may use lead forms that are built into Meta's platform. If you fill out one of those forms, Meta collects what you submit and passes it to us. Meta handles that information under its own privacy policy. We use the information you send us, whether through an ad lead form or through a form on this Site, to respond to you and follow up about your request, including by phone, email, or text where you have agreed to get texts. Text messages follow the choices you make on the form and our SMS Terms, and you can reply STOP at any time. We do not use pixels or visitor-ID tools on this Site to track you for our ads.

Your choices about cookies.

  • Most browsers let you block or delete cookies in their settings. If you block cookies needed to run the Site, some features, such as forms or booking, may not work.
  • You can use browser extensions or privacy settings that limit tracking scripts.
  • Do Not Track: there is no common standard for how websites should respond to browser "Do Not Track" signals, and our Site does not currently respond to them.

7. We do not sell personal information

We do not sell personal information for money, and we do not sell or rent our contact lists.

Mobile phone numbers and SMS opt-in data are never shared for marketing purposes (see Section 5).

8. How long we keep information

We keep personal information for as long as we need it for the purposes described in this policy, including to meet legal, tax, and accounting requirements. After that, we delete it or de-identify it.

Records of your consent and opt-out choices for text messages and email may be kept after you opt out or ask us to delete other information, so that we can keep honoring your choices and show that we followed the law.

9. How we protect information

We use reasonable administrative, technical, and physical safeguards designed to protect personal information. For example, we limit account access to people who need it, and we rely on established providers for hosting and payments.

No method of transmission over the internet or method of storage is completely secure. We cannot guarantee absolute security. Please contact us right away if you believe your information has been compromised.

10. Children's privacy

Our Site and services are meant for businesses and adults. They are not directed to children under 13, or to anyone under 16, and we do not knowingly collect personal information from them. If you believe a child under 16 has given us personal information, contact us at [email protected] and we will delete it.

11. Your choices and requests

  • Access, correction, and deletion. You can ask us to tell you what personal information we hold about you, to correct it, or to delete it. Email [email protected] or call (330) 919-6670 . We may need to verify your identity before we act on a request. We may keep certain information where the law requires or allows it, for example records of your opt-out so that we keep honoring it, or billing records.
  • Marketing emails. Click "unsubscribe" in any marketing email, or contact us. We may still send you non-marketing emails about your account or services.
  • Text messages. Reply STOP to any text message from us to opt out. Reply HELP for help. See our SMS Terms at https://vexflow.io/sms-terms .
  • Cookies. See Section 6.
  • Information we handle for a client. Please contact the business you dealt with (see Section 1).

We will not discriminate against you for making a privacy request.

12. Additional information for residents of certain U.S. states

Several U.S. states have consumer privacy laws that give residents certain rights. Examples include the right to access, correct, or delete personal information, to get a copy of it, or to opt out of targeted advertising, "sales," or certain profiling. Whether these laws apply to us depends on things like the size of our business and how much personal information we process. They may not apply to us.

Even so, we will consider requests from any person, wherever they live, and respond as required by applicable law. To make a request, contact us at [email protected] or (330) 919-6670 . If we deny your request and your state's law gives you the right to appeal, you may appeal by replying to our decision or emailing [email protected] with the subject line "Privacy Request Appeal." You may use an authorized agent where your state's law allows it. We may ask for proof of that authorization.

13. Visitors from outside the United States

We are based in the United States, and our Site is intended for users in the United States. If you visit from another country, your information will be transferred to, stored in, and processed in the United States and other countries where our service providers operate. Data protection laws there may differ from those in your country. By using our Site or giving us information, you understand that your information will be processed in the United States.

14. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will post the updated version at https://vexflow.io/privacy-policy and change the "Last updated" date above. If we make material changes, we will take additional steps to notify you where required by law, such as a notice on our Site. Changes will not reduce protections for SMS opt-in data described in Section 5 without your consent where consent is required.
